What Will You Do? Key Responsibilities

As a Finance and Administration Assistant, you will be a core member of the Nepal Resident Mission’s finance and administration team, reporting to designated International Staff and Officers. Your work will span financial management, procurement, government liaison, logistics, and office administration.

1. Financial Management and Budget Support

You will support day-to-day financial operations, including preparing and verifying purchase orders, vouchers, receipts, and supporting documents. You’ll also assist in preparing mid-year and annual budget estimates in compliance with ADB’s financial guidelines.

2. Procurement and Internal Controls

You will handle institutional procurement using ADB’s e-Proc System, prepare cost comparison charts, verify supplier quotations, and process requisition and purchase/work order forms — ensuring transparency and compliance at every step.

3. Government Relations and External Liaison

A key part of the role involves maintaining working relationships with Nepali government agencies and service providers. This includes following up on tax exemptions, permits, renewals, reimbursements, and ensuring consistent quality of external service delivery.

4. General Office Administration and Logistics

You’ll manage personnel administration follow-ups, maintain organized filing systems, and coordinate travel arrangements — including visa processing — for official ADB missions and ADB-funded activities.

5. Asset, Fleet, and Facilities Management

The role requires overseeing the operation and maintenance of office equipment, vehicles, and standby generators. You will track fuel consumption and maintenance records, and serve as the focal point for vehicle and asset management at the Resident Mission.

6. Quality Management System (ISO 9001:2015)

You will actively support the implementation of the ISO 9001:2015 Quality Management System for finance and administration functions, and assist in supervising General Services staff, including both regular employees and contractors.

Note: The Finance and Administration Assistant role is graded TL1 (Technical Local Staff). Local staff compensation is benchmarked separately against the Nepal market and ADB’s internal standards.

Contract Details: What to Expect

This is a fixed-term appointment, initially for a period of up to 3 years, or until the Normal Retirement Date (NRD), whichever comes first. There is no limit to the number of renewals up to NRD, though this appointment is not convertible to a regular appointment.
